Welcome to the MES Platform ("we," "us," or "our"). We created the MES Platform to enrich the educational administration experience for schools, teachers, students, and parents. This Privacy Policy outlines how we collect, use, process, and protect your personal data when you use our School Management System and related services (collectively, the "Service").

We collect information to provide, secure, and improve our Service. This includes:
A. Information You Provide to Us
- Account Registration: To create an account on the MES Platform, you must provide basic information such as your full name, email address, and phone number.
- Profile Information: As part of a school's ecosystem, your profile may include additional details such as your role (teacher, parent, administrator), associated classes, family relationships, educational background, photos, and date of birth.
- Communications: Information provided when you contact our support team or reply to our communications.
B. Information Automatically Collected
- Log Data and Device Info: We may collect standard log information, including your IP address, browser type, operating system, the pages you view, and timestamps when you interact with our Service.
- Cookies: If you use our web portal, we use cookies to track login sessions, remember display preferences, and ensure the security of your account. These cookies manage temporary sessions and persistence if you select "Remember Me".
- Location Data (Mobile App Only): With your explicit permission, the MES Mobile app collects precise and approximate location data, including background location. This is used exclusively for geofence-based attendance check-in and check-out at school premises — the app detects when a student or teacher enters or leaves the designated school zone to automate attendance. Location data is processed on-device for geofence triggering and only sent to our servers as attendance events (entry/exit timestamps tied to the school geofence). You may revoke location permission at any time in your device settings; disabling it will turn off automatic attendance.
- Photos and Videos (Mobile App Only): With your permission, the mobile app accesses your device's photo and video library so you can select media to attach to chat messages and homework submissions. Selected media is uploaded only when you explicitly send or submit; we do not scan, index, or access media outside of your selection.
- Camera and Biometric Data (Mobile App Only): The mobile app uses the device camera when you capture photos or videos to attach. Fingerprint and face recognition (biometric) authentication is handled entirely by your device's operating system; biometric templates never leave your device and are not transmitted to our servers.
2. How We Use Your Information (Including SMS)
We use your data strictly to operate, maintain, and secure the MES Platform. Specific uses include:
- Providing the Core Service: To facilitate your access to the platform, manage school records, track attendance, handle scheduling, and process billing.
- Critical Communications (SMS): We use your phone number specifically to send transactional SMS messages required for the secure operation of the platform. This includes:
- Sending One-Time Passwords (OTPs) for secure login and account verification.
- Sending critical security alerts regarding your account.
- Sending essential school-related notifications, such as automated check-in confirmations, absence alerts, and emergency broadcasts.
- Service Improvement: To analyze aggregate service usage and traffic patterns to continue building a better experience for our user community.
Marketing Restrictions: We do NOT use your phone number or personal data for marketing or promotional SMS campaigns. We do not sell your personal data to third parties.
3. Who We Share Your Data With
We only share your data to provide the Service, comply with the law, or protect our rights:
- Your Educational Institution: Because the MES Platform is a school management system, the data you enter is shared with and accessible by the administration of the specific school or university you are affiliated with.
- Service Providers: We share necessary data with trusted third-party vendors who provide infrastructure and services on our behalf (e.g., cloud hosting via AWS, SMS gateways like AWS SNS and Twilio, and payment processors like Bakong). These partners are strictly bound by confidentiality agreements.
- Legal Requirements: If required by law, subpoena, or other legal processes, we may disclose your information to comply with Cambodian law enforcement or regulatory authorities.
4. How Long We Retain Your Data
We retain your personal information for as long as your account is active, or as needed to provide you the Service. Because we operate on behalf of educational institutions, some student and academic records may be retained indefinitely as required by the administrative and academic policies of those institutions.
5. What Rights You Have Over Your Data
If you have an account on this site, you can view and edit the standard personal information provided in your user profile.
- Correction & Deletion: You have the right to request corrections to your data. If you wish to delete your account or specific data, you must generally route this request through your school administration, as they are the primary data controllers of the academic records.
- Communication Preferences: You may opt-out of certain non-critical notifications. However, opting out of essential security SMS messages (like OTPs) may affect your ability to securely access the MES Platform.
6. Data Security Measures
We implement rigorous technical, organizational, and physical security measures designed to protect your personal information, including your phone number and academic records, from unauthorized access, alteration, disclosure, or destruction. However, no internet transmission is entirely secure, and you are responsible for keeping your login credentials confidential.
7. Changes to this Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will notify you via the Service or by email.
